Invite team members and manage roles

Invite people to your team, choose workspace roles, and give them access to the right client accounts.

Everyone in the team app has a workspace role. They also need account access before they can see or work inside a client account.

Understand the roles

  • Owner: the one workspace owner. The owner controls billing and all company settings, and is always added to new accounts.
  • Admin: can manage most company settings, team roles, invites, and account access. An admin is not an extra billing owner.
  • Regular User: can use the team app and work in assigned client accounts. This role is stored as a member role, but the current settings page calls it Regular User. A regular user cannot manage company settings or other people's roles.

A workspace role does not grant access to every client account. Even an owner or admin needs an account membership for account-scoped search and work. Some task boards or sections can add more limits after account access is granted.

Invite a team member

Only an owner or admin can invite people.

  1. Open Team, then go to All Team Members.
  2. Select the invite action.
  3. Enter the person's email address.
  4. Choose a role.
  5. Choose the client accounts they should access.
  6. Send the invite.

Pending and active team members count toward the plan's team-seat limit. If the invite action is blocked, check the current seat use on Company Settings → Plans or Company Settings → Usage.

From a pending invite, an owner or admin can resend it, copy its invite link, or delete it. Deleting the pending invite revokes that invite.

Change a role or new-account default

  1. Open Team, then go to All Team Members.
  2. Open the team member.
  3. Under Administrative Settings, change Role or Auto-add to new accounts.

Only owners and admins see these controls. They cannot change the owner's role. A person cannot change their own role from this page.

Auto-add to new accounts affects accounts created later. It does not add the member to accounts that already exist.

Add or remove client accounts

Open the member from All Team Members. Use the account sections to add one or more accounts or remove selected accounts.

Removing account access stops the member from seeing that account's files, requests, services, ordinary tasks, and account chat. A restricted task board or section may also have its own list of allowed people.

Remove a team member

  1. Open Team, then go to All Team Members.
  2. Open the member.
  3. Choose the remove action.
  4. Confirm the removal.

The workspace owner cannot be removed. Admins also cannot use this flow to remove themselves. Removing a team member ends their workspace access; it does not delete client work they created.

Why can a team member not see a client account?

  • They accepted the team invite but were not added to that account.
  • Auto-add to new accounts was turned on after the account was created.
  • The account is archived or disabled.
  • A task board or task section has its own access list.
  • The member is signed into a different Sydnee workspace.

An owner or admin should open the member's profile and add the missing account. Do not change the person to Admin just to fix account access.

What clients see

Team roles and the Manage Team page are team-only. A client's access is managed through that client account's portal-user controls, not this workspace team list.
