Manage company status choices

Set shared status names, colors, markers, attention rules, and text requirements for boards and projects.

Owners and admins can set the shared status choices under Company Settings → Status updates, where available. The same list serves client account boards, internal project boards, and overall project updates.

If the page says status settings are unavailable, keep using your current choices and contact support for help. There isn't a company switch to turn this settings page on.

Add or change a status

Review changes with your team first. Names, colors, and markers also change how past updates appear in Sydnee. Changing a text rule can affect future submissions from an integration.

  1. Open Company Settings → Status updates.
  2. Select Add status, or find a saved row.
  3. Enter a name and choose a color. Check the status preview.
  4. Open Policies to choose a Dot or Trophy marker.
  5. Set Needs attention and Require update text as needed.
  6. Select Save changes.

Discard changes returns to the saved list. A new status starts with a dot and both policy switches off.

Names can have 1–60 characters. Active names need to be unique, even when the only difference is a capital letter. You can have up to 100 active choices and 500 saved choices, including archived ones. Keep at least one choice active.

Choose attention and text rules separately

  • Needs attention puts the status in the At risk or off track group in Board Health. It can be on even when text is optional.
  • Require update text asks the author to explain the update. It can be on even when the status doesn't need attention.
  • Marker changes the dot or trophy shown with the status. A trophy doesn't complete tasks or close a board or project.

For board updates, required text belongs in Current update. Next steps alone doesn't fill that requirement. Overall project updates use the Update field.

These are the starting choices. Your saved list can differ:

StatusNeeds attentionRequire update textMarker
On trackOffOffDot
At riskOnOnDot
Off trackOnOnDot
On holdOffOnDot
CompleteOffOffTrophy
DroppedOffOffDot

Reorder, archive, or restore

Drag rows into order, or use the row menu's move actions. The saved order is used when choosing a status.

Choose Archive to remove a choice from new updates without losing its history. Find it in the archived list and choose Restore to offer it again. If its name is now in use, rename it before saving the restore.

Saved choices are archived rather than deleted. An unsaved new row can be removed. Archive and restore changes take effect after Save changes.

What changes in existing work?

Changing the company list doesn't post a new update or send an alert. Past updates keep their text, author, date, and discussion. They display the current status name, color, and marker. Attention counts and filters follow the saved attention rule after refresh. Archiving alone leaves an existing update's attention rule in place.

Clients see the same status label on work they can already access. They don't manage the company list or gain new access from a status change. Sent emails keep their earlier wording. New emails use the current name when prepared. Webhook status details keep the values from when the update was posted.

If someone else saves first

Sydnee keeps your draft and reports that settings changed. Copy any edits you want to keep, then choose Discard changes to load the latest list. Review it before applying your edits again.

If saving succeeds but the page can't refresh other views, keep the success result and refresh those views. A refresh error alone doesn't mean the save failed.
