Invite clients and manage account access

Add clients and team members to one account, send invites, and remove access when it is no longer needed.

Use Portal access to manage the clients and internal team members who can reach one client account.

Before you start

  • You need team access to the client account.
  • You need the client's name and email address.
  • Finish the portal setup before sending the invite, or turn email notice off for now.

Invite a client

  1. Open the client account.
  2. Open Portal access.
  3. Select Add to portal, then Invite a client.
  4. Enter the client's Name and Email address.
  5. Leave Notify them by email on to send an invite now.
  6. Add a Personal note if it helps.
  7. Select Send Invite.

If you turn Notify them by email off, select Add Client. The person gets portal access, but Sydnee does not send an email.

The new client appears under Clients in Portal access.

Give one client access to more than one account

Repeat the invitation steps in each account and use the same email address. After sign-in, the client can choose from the active accounts connected to that email.

Access stays separate for each account. Removing the client from one account does not remove them from the others.

Add an internal team member

  1. Open Portal access.
  2. Select Add to portal, then Add a team member.
  3. Search for people already on your Sydnee team.
  4. Select one or more people.
  5. Add the selected team members.

The team members appear under Team members. This gives them access to the account in the team app. It does not turn them into clients.

Resend a client invite

  1. Under Clients, open the person's actions menu.
  2. Select Resend invite email.
  3. In Resend Invite, select Resend Invite.

Sydnee sends the current portal invitation again.

Remove a client's access

  1. Under Clients, open the person's actions menu.
  2. Select Delete user.
  3. In Delete User, select Remove User.

The person can no longer open this account. The account and its work stay in Sydnee.

Remove an internal team member

Only the company owner sees the current Remove team member action for another internal teammate.

  1. Under Team members, open the person's actions menu.
  2. Select Remove team member.
  3. Confirm Remove Team Member.

The teammate loses access to this account, but stays on your company team.

What your client sees

An emailed invite tells the client that access was granted and links to the company portal. The client signs in with the invited email and a five-digit email code.

Account access does not show every item. Files, Tasks, Requests, Services, custom pages, and Live Chat can have more access rules.

Fix a common problem

This email already has access

Search the Clients list for the email. Resend the invite instead of adding the same person again.

The client did not get the invite

Check the email spelling, then select Resend invite email. Ask the client to check spam or junk mail too.

The client signed in but cannot see this account

Check that the client is listed under Clients in this account, the email matches the address they used, and the account is active. Then ask the client to sign out and start again from the correct company portal.

The client opted out of email

The access list shows a warning. Login codes still arrive, but other email notices are off. The client can change email choices from Notifications in the portal.
