Use task views, filters, grouping, and bulk actions

Change how tasks appear, narrow the list, and update several tasks safely.

Views show the same tasks in different ways. Filters and grouping change what you see. They do not copy or move the saved tasks.

Before you start

  • Open My Tasks for assigned work across accounts.
  • Open a client task board for its full section, view, and client settings.
  • You can select up to 100 tasks for one bulk action.

Choose a board view

A board can show these views when they are enabled:

  • Overview: the board brief, current status, milestones, and status history.
  • Table: task rows with details that are easy to scan.
  • Board: Kanban columns based on saved sections or another grouping.
  • Date: Month, Week, Day, or Agenda calendar layouts.
  • Timeline: dated tasks and milestones on a timeline.
  • Files: attachments from visible tasks on this board.

Timeline and Files are controlled by workspace release settings and may not appear. Date also must be enabled for the board. Removing a view hides its tab but keeps its saved content.

Team members can use the view menu to add an available view, reorder view tabs, set a default, or hide an account-board view from clients. An account board must keep at least one enabled view and one client-visible view. Its default view must be client-visible.

Find the task calendar

Open a board and choose Date. Then choose Month, Week, Day, or Agenda.

Only tasks with a date appear on the calendar. Repeating tasks can be viewed there, but the simple calendar drag action cannot change their due date. My Tasks also has a calendar layout for assigned work. The personal Inbox does not use the account-board Date view.

Filter tasks

Open Filter and add one or more rules. Current account-board filter fields include:

  • completion status;
  • assignee;
  • due date;
  • priority;
  • tags;
  • task type and kind;
  • service;
  • attachments; and
  • comments.

Use the quick choice Just my tasks for work assigned to you. Task search matches titles. It does not search descriptions, comments, or attachment text.

If a result is missing, clear search and filters before changing the task.

Group and sort a board

Table and Board can group tasks by saved sections, due date, assignee, tags, or priority. Tag grouping may show one task in more than one group because a task can have several tags.

Groups based on due date, assignee, tags, or priority follow an automatic order. Drag-to-reorder is available for saved sections instead.

Your filter, sort, and grouping changes stay with the open work session until you save them. Team members can use the saved-view controls to save a personal view or a team default. Portal users receive the client default and cannot save a personal board view.

Update several tasks

Select task checkboxes. The floating action bar shows the actions allowed on that surface. Supported actions can include:

  • complete selected tasks;
  • move selected tasks to another section;
  • change client visibility or edit access;
  • archive tasks; and
  • delete tasks.

On My Tasks, bulk completion checks dependencies first. Ready tasks complete in dependency order. Blocked tasks stay open and selected so you can review them. Completing a repeating task creates its next occurrence.

Clients have fewer bulk actions and cannot change task client permissions.

What your client sees

Clients see only views made visible to clients and only tasks allowed by the board, section, task, and parent-task rules. Filters never grant access to hidden work.

Fix a common problem

A view is missing: the view may be disabled, hidden from clients, or controlled by a workspace release setting.

A task is not on Date: add a valid due date and clear filters. The task must also be visible in the current board.

A bulk action skipped a task: it may be blocked, unavailable, read-only, or outside the surface's allowed task types. Failed tasks stay selected for another try.
