Create, assign, and complete a task
Add a task, choose its owner and due date, then complete or reopen the work.
Create a task when a piece of work needs a clear result, owner, or place on a client board.
Before you start
- Team members need access to the client account, board, and section.
- Clients can create tasks only in a visible section that they can edit.
- A board stops offering task creation when it reaches 500 active tasks.
- The task title is required. The assignee and due date are optional.
Create a task
- Open the client task board.
- Choose the right section.
- Select + New Task, Add Task, or the inline add action shown in that view.
- Enter a short title.
- Choose an assignee, due date, priority, or repeat rule when needed.
- Save the task.
The task is added to the selected board and section. The person who creates an account task becomes a collaborator. Inline and calendar creation can save the same core task fields.
Assign the task
A task has one assignee. The assignee is the person who owns the work. Collaborators can follow supported updates, but they are not extra owners and do not get more access.
The assignee must belong to the account and be allowed by the board and section. A portal member cannot be assigned to a private task or work hidden from clients.
Open the task and use Assignee to assign, change, or clear the owner. Assignment can create an in-app notice and an email, depending on the person's settings and access.
Add a due date
A task can have no date, one date, or a date range. A date can be all-day or include a time. For a range, reminders count back from the end.
Changing a due date may notify the assignee. Repeating tasks use a schedule and cannot be moved with the simple calendar drag action.
Complete or reopen the task
Select the task's status control or choose Complete.
For a normal task, Sydnee saves the completed time and records the change. Reopen it when more work is needed.
For a repeating task, completing the current item archives it and creates the next scheduled task. The next task carries supported task details, assignee, collaborators, and reminders. If the repeat schedule or due date is not valid, the task does not complete.
A task cannot be completed while an open direct blocker remains. Complete the blocker first or remove the dependency.
Archive, restore, or delete work
Archive a task when you want it out of active work but may need it later. Open Archived Tasks to restore it. Delete is a separate soft-delete action.
Archiving or deleting a task removes its dependency links. Restoring it does not rebuild those links.
What your client sees
A client sees the task only when they can access its account, board, section, task, and every parent task. On an editable task, a client can change supported fields and complete or reopen it. A read-only client can still comment but cannot change the task itself.
Fix a common problem
The assignee is missing: the person may not belong to the account or may be blocked by board, section, or task visibility.
The status will not change: the task may be read-only, archived, unavailable, or blocked by another open task.
Create Task is missing: the section may be read-only, the board may be unavailable, or the board may already have 500 active tasks.
