Find and manage files across accounts
Search, filter, sort, and review current files from every client account you can access.
All Files shows current files from every client account you can access. Use it when you do not know a file's folder or account.
What do you need before you start?
- All Files is for team members. Clients use the Files area inside one account in their portal.
- Results follow your access. A file does not appear when you cannot open its account or folder.
- Uploads start from an account's root Files area or a regular folder, not from All Files.
How do you open All Files?
- Open Files in the main navigation.
- Choose All Files.
- Keep the All Files tab selected.
The workspace also has Deliverables and Public links tabs. Each tab keeps its own search, filters, and sort choices.
What does search check?
Search can match a saved file name, original name, folder, account, or uploader. It does not read words inside a file.
Use the Account filter when you know which client owns the file. Clear the search field to return to the full list.
How do you filter files?
Open Filters to choose one or more of these fields:
- Uploader: Team members, Clients, or System
- File category: Images, Documents, Spreadsheets, Presentations, Videos, Audio, Archives, or Other
- Uploaded date: Today, the last 7, 30, or 90 days, or a custom range
- Comment activity: Commented on today
- Starred: Files marked as important
Quick filters include Client uploads today, Client uploads, Team uploads, Uploaded today, Uploaded last 7 days, Commented on today, Images, Documents, and Starred.
Different filter fields narrow the list together. Several choices in Uploader or File category can match any chosen value. Choose Apply filters to update the list. Choose Cancel to discard changes.
How do you sort the list?
Open Sort and choose:
- Uploaded date
- File size
- File name
- Account
- File type
Choose Ascending or Descending for the direction. Newest uploads appear first by default.
How do you change the columns?
Open Columns to change the desktop table. You can add, remove, or reorder details. File, Account, and Uploaded always stay visible.
Other columns include Folder, Uploader, Size, Type, Versions, Comments, and Starred. Drag a desktop column header by its handle to change the order. Sydnee saves the choice in your browser.
What happens when you open a file?
Select a file to open the full viewer without leaving All Files. The viewer can show details, comments, versions, and history. It also shows the actions allowed by your access.
Each row shows the current version of one file. The Versions column shows how many active versions belong to it. Open the version panel when you need an older version.
Use the previous and next controls to move through the loaded results. Browser Back closes the viewer and returns to the same list position.
How does the list load more files?
The list loads more results as you scroll. If loading stops after 1,000 files, narrow the search or filters to continue.
A loading failure keeps the current search and filters. Use the retry action in the list to try again.
What does your client see?
All Files is a team-only workspace. It does not change file access or create a client view. Clients use the Files area inside each account in their branded portal.
How do you fix a common problem?
A file is missing: clear the search, account choice, and filters. Then check the expected account and folder. Your access to that account and its folder still controls the result.
Upload is unavailable: open the client account's root Files area or a regular folder. All Files is for finding and reviewing files.
Only part of the list appears: scroll to load more. If Sydnee shows the 1,000-file message, narrow the search or filters.
